Summary

AI-generated · Sep 27, 2025

Provide 12 months of maintenance and support for the Fishers Lane Conference Center’s audiovisual (AV) system, including on-call field engineering and emergency materials/repairs to keep AV operations fully functional. The vendor will perform preventative maintenance per the Bill of Materials, supply parts, and deliver a service record after each visit. If a repair cannot be completed on site, the vendor will arrange a short-term replacement or rental equipment. Response times include priority telephone response immediate or within 2 hours, standard service within 24–48 hours (not earlier than 24 hours), and emergency service within 6 hours, with on-site work at the Rockville, Maryland location.

This is a sole-source procurement intended to be negotiated with RCI Systems due to proprietary knowledge of the original systems and software, making post-warranty support, emergency response, and rapid replacement unavailable from other vendors. It is not a competitive RFP, but other capable firms may submit capability statements for consideration.

RCI Systems installed the original systems which run throughout the building and interconnect to all conference rooms. RCI has propriety knowledge of the systems and software and no other vendor could perform the post warranty support, including emergency response, rental / loaner equipment, and expedited equipment repairs / replacements, is essential to minimize downtime and ensure a fully functioning audiovisual (AV) system. The Fishers Lane Conference Center has become an important resource for the NIAID community. As NIAID staff return to the office, usage of the conference center will continue to increase, and the need for uninterrupted operations is crucial in this facility. This order is intended to provide on-call field engineering and emergency materials/repairs in support of AV-related meeting operations. Having a support contract in place so that the high standards of the center can be maintained without interruptions or cancelations is essential to continued operations as AV equipment ages and the potential for failures increases. Without such a contractual arrangement the OCICB-AV team may not be able to quickly provide replacement/rental equipment if a system failure occurs. Place of Performance will be at 5601 Fishers Lane, Rockville Maryland 20852 and the period of Performance shall be for twelve (12) months.
