Aerospace Ground Equipment (AGE) Management and Logistics Software FA564125R0001
Summary
AI-generated · Aug 24, 2025As part of market research, a digital management system is needed to replace handwritten AGE dispatch logs and to manage aerospace ground equipment across five European locations. The software must support a digital AF Form 864 that captures all required fields (Date; Shift/Work Center; Total Runs; Dispatcher; Equipment Type and Serial Number; From/To; Time Requested and Time Dispatched; Priority; Operator; Fuel Quantity; Remarks and Signatures) and store these records in a live database with an external storage option. It should also provide an active inventory module to track equipment location, movement, and usage duration in real time.
In addition, provide five devices per location and a data plan, with access for up to 100 users per location from personal devices, plus an oversighting authority that can view data for each location. The system must accommodate the specified hardware and align with the AF Form 864 structure (as detailed in Attachment 01). This is a voluntary capability input request for planning purposes and responses are non-binding.

USAFE/AFAFRICA -- A4 Logistics function is currently in pursuit of a digital management system for the AF Form 864, Daily Requirement and Dispatch Record to manage aerospace ground equipment (AGE) across five (5) United States Air Force European locations. As well as an active inventory system that actively monitors and inventories in specified locations. Currently, equipment tracking and dispatch is an unorganized process managed through handwritten paper dispatch logs and often garbled requests transmitted over handheld radios. This system is not only highly inefficient, but is constantly plagued by lost paperwork, miscommunication, and an inability to effectively manage equipment resources. Vendors would be required to provide a data plan/data service as well as 5 devices per location to operate their software. Each location would also need to be able to grant multiple users (up to 100 users per location) access to the digital management system on their personal device as well as have an option for the oversight authority to be able to access each location s data/equipment dispatch information. The AF Form 864, as stated in the introduction, requires a multitude of listings and needs to be inventoried so each operational location can monitor where, when, how this equipment is being utilized. On this form, it states a few categories that are crucial in monitoring. These are: Date Shift/Work Center (Unit, Section) Total Runs Name of Dispatcher Field # Type Equipment (Equipment Serial Number) From what agency To what agency Time requested Time dispatched Priority Remarks Operator's Name/Signature Remarks Fuel Quantity Within this management system and tool, the user would need to be able to input these values into a digital AF Form 864 and be able to store within a set database and an external hard drive. In addition to these digital forms, a live database will be required to actively monitors input of the AF Form 864 form to account for current inventories, movement of equipment, and the duration of use. Please see Attachment 01 AF Form 864 for the specifics on what the form entails. Questions regarding this sources sought are due to by Monday, 7 July 2025 at 1500 CEST. We are kindly requesting any input on whether your agency has the capability of developing this form of software for our systems and accommodate this software with specific hardware.
